Renting a home: documents, selection and safe viewings

1. Define your search

State the purpose of your stay, intended duration and move-in date. The contract type should fit the actual situation, not just a convenient label.Budget for rent plus utilities, internet and transport. Allow separately for agreed initial payments.Shortlist areas and check routes to work, school and healthcare. Do not choose solely by distance to the beach.

2. Introduce your household

List every intended occupant, including children: who signs and who lives there. Explain work, studies and your intended stay.Have available identification for each household member ready, and NIE/TIE where held. Agree which details and copies are actually needed after checking the agency.Disclose pets from the outset: type, number and relevant details. Do not hide them; agree permission and terms in writing before signing.

3. Demonstrate affordability

These are examples to prepare, not a compulsory pack for everyone. Owner or insurer requests and assessments vary; providing documents does not guarantee acceptance.

Employment: contract, recent payslips and evidence of income receipts as agreed.Self-employment or business: registration, tax documents and clear evidence of regular income.Pension, overseas income, savings or a guarantor: explain how rent will be paid and agree suitable evidence and translations.Do not alter or fabricate evidence. Explain an unusual situation openly.

4. Share documents carefully

Check the agency and contact first. Ask who receives data, why and through which channel. Start with a brief household profile.Do not send a full pack, especially children’s documents, to every advertiser. Share only the agreed necessary information.

5. Check the area for your routine

Visit during the day and evening; assess noise, lighting, parking and actual routes to work, school and shops.Ask about seasonal activity in nearby homes and businesses, transport and internet. If working from home, check desk space and indoor reception.

6. Inspect damp, windows and floor access

Look for mould, leak marks and musty smells in corners, around windows, behind furniture and under sinks. Ask about causes and repairs.Check window orientation, daylight, ventilation, shutters and noise with windows closed. Ask how the home is heated and cooled.Check steps, lift and pushchair access, entrance door, balcony and suitability for children and pets. Seek professional assessment for serious defects.

7. Check equipment and surroundings

With permission, test hot water, pressure, drains, air conditioning, cooker, fridge and washing machine. Record failures and who will fix them before move-in.Agree furniture, mattresses, appliances, pool access, parking and shared-area rules. Ask about usual noise and works.

8. Discuss the contract and payments

Obtain the draft contract and payment breakdown. Agree occupants, pets, utilities, repairs, inventory and handover arrangements.Before paying, verify the address, owner or representative’s authority, payee and written reservation refund terms.Discuss your household and pets before deciding. Do not sign terms that differ from what was agreed.Get a full payment and refund breakdown. Review purpose, duration, bills, repairs and termination; assess the legality of particular terms separately.Verify owner, signing authority and payee. Keep the contract and payment receipts.

9. Renting remotely: extra checks

Tairix recommends using only a verified agent for remote renting, with an on-site inspection and document checks. Registration, reviews and video calls help, but none alone guarantees safety.

Verify the agent’s identity, office and professional details independently. Contact them through a publicly listed official channel.Request a continuous live walkthrough of street, building number, entrance, every room, windows, equipment and defects. Obtain the address and current photos; have your representative visit.Do not pay merely for a promise to send keys. Check authority to let, contract, payee, refund terms and move-in arrangements first. Resist pressure to pay immediately.

10. Handover

Record condition and defects together in a photographed handover report, with inventory, meter readings, keys and repair contact.Keep written records of agreed repairs and deadlines. Put important promises in writing.

11. A short profile for your agent

“We are … adults and … children. Pets … . We need … area, … bedrooms, rent budget … plus bills, move-in …, duration … . Income source …; evidence can be prepared. Essentials …”. Accurate information helps rule out unsuitable homes early.
